Job Summary
The Artist Liaison and Art Fair Coordinator plays a key role in supporting the gallery’s relationships with represented artists and ensuring the successful execution of international art fairs. The role requires a highly organised and diplomatic individual who can manage artist production, communicate clearly with artists, and co-ordinate across departments to deliver high-quality exhibitions and fair presentations.
Key Responsibilities
Artist Liaison
- Act as the primary point of contact for gallery-represented artists and estates
- Co-ordinate the production, transportation, and documentation of artworks
- Oversee deadlines for new work, photography, and consignments
- Manage artist-related administrative tasks, including contracts, CVs, biographies, and archives
- Facilitate artist visits and ensure smooth communication between artists and the gallery team
- Assist with the development of exhibition materials in collaboration with curators and the communications team
Art Fair Coordination
- Manage all aspects of art fair participation, including applications, booth layouts, shipping logistics, customs, and insurance
- Liaise with fair organisers, registrars, and shippers to ensure timely execution
- Co-ordinate internal teams (curatorial, sales, marketing, logistics) for fair deliverables
- Oversee artwork packing lists, condition reports, and inventory
- Design marketing collateral, including PDFs, brochures, artwork labels and exhibition materials using Adobe InDesign and Canva
- Travel to fairs as required to assist with booth installation and on-site operations
- Prepare post-fair reports, track sales, and manage return logistics Artwork Production
- Monitor and manage the production timeline of artworks in close co-ordination with the artist
- Source materials, fabricators, and technical support for production as needed
- Liaise with foundries, workshops, and other production partners to ensure quality and adherence to specifications
- Visit production facilities to supervise progress and ensure deadlines are met
- Maintain clear communication with the artist and gallery team regarding developments, delays, or issues
- Oversee budgets related to artwork production and ensure accurate invoicing and cost tracking
Skills & Qualifications
- Minimum 3 years’ experience in a gallery, museum, or comparable arts organisation in the Gulf region
- Strong project management and multitasking skills
- Excellent interpersonal and written communication abilities
- High attention to detail and discretion in handling sensitive information
- Proficiency with Microsoft Office, Adobe Creative Suite, and Artlogic
- Ability to travel for art fairs and installations when required
- Multilingual skills a plus

- Proactive and solutions-oriented with a calm approach under pressure
- A genuine interest in Middle Eastern contemporary art and the gallery’s programme
- Familiarity with Middle Eastern and South Asian artists and institutions
- Based in Dubai with a valid driver’s licence
