Lawrie Shabibi is looking for a full-time administrative assistant to join our fast-growing workplace. This is a very dynamic role that requires an enthusiastic and hard-working individual to join our gallery. The ideal candidate is efficient, detail-oriented, well organised and has at least three years’ experience working in an administrative capacity in Dubai.
The right candidate will have the following skills:
- Familiarity with standard office platforms, such as Word and Excel;
- Bookkeeping skills
- Data management and entry skills, including the ability to maintain inventory systems;
- Excellent written communication skills;
- Time management, multitasking, and flexibility;
- Strong organizational skills;
- Accuracy and attention to detail;
- Excellent office and phone etiquette;
- Ability to work well independently and in collaboration with others;
- Ability to work well under pressure and navigate multiple deadlines; and
- Proactive approach to problem-solving and process improvement.
The role includes the following:
- Supply management and inventory control;
- Event planning and coordination;
- Bookkeeping and managing budgets
- Issue and following up business invoices;
- Maintain information in databases and spreadsheets;
- Prepare meeting agendas and take meeting minutes;
- Coordinate logistics for meetings, including room setup and catering;
- Operate and maintains office equipment, including printers etc
- Booking flights, hotels
- Works with maintenance staff and outside vendors to ensure office; equipment is in good working order and office supplies are always on hand and the office is clean and tidy.
Working Hours
10-6pm Monday-Friday
Visa after three-month trial
